A 2 Z Trip β Cancellation & Refund Policy
At A 2 Z Trip, we understand that travel plans can change unexpectedly. Our cancellation and refund policy is designed to be transparent and fair for our valued customers.
Cancellation Charges β On-Ground Tour Package
If a customer cancels a confirmed tour booking, the following cancellation charges will apply to the total on-ground package cost, not merely to the advance amount paid.
Cancellation Date Cancellation Charge
31 days or more before departure 20% of on-ground package cost
30 to 21 days before departure 40% of on-ground package cost
20 to 15 days before departure 60% of on-ground package cost
14 to 10 days before departure 80% of on-ground package cost
9 days or less before departure 100% of on-ground package cost
Important Conditions:
Cancellation charges are calculated on the total applicable on-ground package cost, irrespective of the amount already paid.
Flight tickets, train tickets, cruises, visa fees and other separately priced services are governed by their disclosed cancellation conditions.
Any additional non-refundable supplier charges must have been disclosed before booking and must not be charged twice.
The cancellation date will be the date on which A 2 Z Trip receives the customer's written cancellation request through an authorized communication channel.
Any refundable balance will be calculated after applicable cancellation charges and previous payments are adjusted.
These charges apply to customer-initiated cancellations and remain subject to applicable consumer protection laws.
2. Advance Payment, Booking Hold, Payment Deadline & Refund Rules
- Advance Payment: Once the customer accepts the tour package and pays the advance, A2Z Trip may begin booking arrangements for hotels, transport and other travel services.
- Booking Hold & Confirmation: A booking holding email, hotel holding confirmation or reservation confirmation indicates that booking arrangements have been initiated. A holding confirmation is not the same as a final booking confirmation.
- Customer-Initiated Cancellation: If the customer cancels the booking for personal reasons, cancellation charges will apply according to the Cancellation & Refund Policy accepted at the time of booking, even if the tour has not started.
- Advance Adjustment: The advance payment will be adjusted against the applicable cancellation charges. If the cancellation charges equal or exceed the advance received, no refund will be payable, subject to applicable law.
- Supplier Payments: Cancellation charges are not based solely on whether A2Z Trip has already transferred money to a hotel, transport operator or other supplier. Valid and reasonable cancellation charges may apply according to the accepted booking terms and applicable law.
- Supplier Booking Proof & Confidentiality: Customers may request a written explanation and calculation of cancellation deductions. A2Z Trip is not automatically required to share confidential supplier rates, internal financial records or commercial agreements directly with customers. However, where deductions are based on actual supplier payments or non-refundable commitments, A2Z Trip will maintain supporting records and provide relevant evidence where required by law or a competent authority.
- Payment Deadline & Booking Release: Customers must complete all pending payments within the payment deadlines agreed at the time of booking or subsequently accepted in writing. If a customer fails or refuses to make payment by the applicable deadline, A2Z Trip may release or cancel the affected booking arrangements after communicating the payment requirement and providing appropriate notice and a reasonable opportunity to pay, subject to supplier deadlines. Such release resulting from the customer's payment default will not automatically be considered a cancellation initiated by A2Z Trip.
- Official Payment Communication: Payment reminders, outstanding balance details, deadlines and booking release notices may be communicated through A2Z Trip's authorized official email addresses, WhatsApp numbers or other agreed communication channels. Customers are responsible for reviewing payment communications sent through the agreed channels. A2Z Trip will maintain records of such communications.
- Request for Payment Extension: If a customer is unable or unwilling to pay by the applicable deadline, the customer may request an extension before the deadline expires. A request for extension does not automatically change the payment deadline or prevent booking release.
- Extension Approved by A2Z Trip: If A2Z Trip agrees to extend the payment deadline, the revised date and any conditions will be communicated to the customer in writing. The revised deadline will then apply. Failure to pay by the original deadline will not be treated as a payment default or customer-initiated cancellation where a valid extension covering that deadline has been approved, provided the customer complies with the revised terms.
- Extension Subject to Availability: A2Z Trip may approve or decline an extension depending on hotel availability, supplier payment deadlines, transport arrangements and other booking requirements. Any extension affecting supplier holds or confirmed services will be subject to the availability and conditions communicated to the customer.
- Cancellation Charges After Payment Default: Where a booking is released due to the customer's failure to pay by the applicable deadline, cancellation charges may apply according to the accepted booking terms and applicable law. A booking release does not automatically justify forfeiture of the entire advance.
- Refund Eligibility: If the amount already paid exceeds the applicable cancellation charges, the remaining eligible balance will be refunded according to the Refund Process.
- Pending Cancellation Charges: If the applicable cancellation charges exceed the amount already paid, A2Z Trip may claim the outstanding amount only where contractually agreed and legally recoverable.
- Cancellation by A 2 Z Trip: If A2Z Trip is unable to provide the agreed services for reasons not attributable to the customer's payment default or other contractual breach, and the customer does not accept a suitable alternative, the applicable refund or remedy will be provided according to the booking agreement and applicable law.
- 16. Payment Receipt & Verification: A payment will be considered completed only when the amount is successfully credited to A2Z Trip's authorized bank account or payment gateway. Merely sharing a payment screenshot, transaction reference or payment promise will not be treated as confirmed payment. In case of a genuine banking delay, the customer must promptly provide the transaction details, and A2Z Trip will reasonably verify the payment before taking any booking release action.
- Partial Payment & Outstanding Balance: Payment of a partial amount does not automatically extend the deadline for the remaining balance. Unless A2Z Trip approves a revised payment arrangement in writing, the outstanding amount must be paid by the agreed deadline. Failure to pay the remaining balance may result in booking release under the applicable payment default procedure.
- Refusal to Make Payment: If a customer clearly refuses to make an agreed payment, A2Z Trip may request written clarification and notify the customer of the consequences of non-payment. If the payment obligation remains unfulfilled after the applicable notice and cure period, the affected booking may be released. A request for clarification or a proposed payment extension will not, by itself, be treated as a cancellation request.
- Supplier Payment Deadlines: Certain hotels, transport providers, airlines and other suppliers may require payment before the customer's scheduled departure date. Any supplier-related payment deadline that affects the customer's payment obligations must be disclosed and agreed in accordance with the booking terms. Where an earlier payment becomes necessary after booking, A2Z Trip will seek the customer's written agreement before changing an already accepted payment deadline.
- Rebooking After Release: Once a booking has been validly released due to customer payment default, the original hotel, vehicle, room category, package price and other travel arrangements may no longer be available. Any request to restore the booking will be subject to fresh availability, revised supplier rates and the customer's written acceptance of any additional charges.
- Booking Release Notification: Where A2Z Trip releases a booking due to payment default, the company will issue a written notification through an agreed communication channel stating the booking reference, outstanding amount, applicable payment deadline, reason for release, effective release date and any applicable cancellation or refund consequences. A2Z Trip will retain relevant communication and booking records.
- Refund Settlement After Booking Release: Following a valid booking release due to customer payment default, A2Z Trip will calculate the applicable cancellation charges according to the accepted booking terms and applicable law. The company will provide a written statement showing the total amount received, applicable cancellation deductions, any separately disclosed supplier charges and the final refundable balance, if any. No charge will be deducted twice, and any legally refundable balance will be processed according to the Refund Process.
- Payment by Third Party: If a booking payment is made by a family member, friend, group member or any other third party, the payment will be treated as payment towards the relevant booking. Any refund will normally be processed to the original payment source, subject to verification, applicable law and payment provider requirements. A third-party payment does not automatically give the payer authority to modify or cancel the booking.
- Group Booking & Payment Responsibility: For group bookings, the person identified and authorized as the group coordinator may communicate with A2Z Trip regarding payments, booking arrangements and requested changes within the scope of their authorization. The agreed payment deadlines will apply to the booking. Any change in group size, payment arrangement or cancellation request must be communicated in writing by an authorized person. Individual travelers retain their applicable legal rights.
- Payment Disputes & Chargebacks: If a customer raises a payment dispute or chargeback through a bank, card issuer or payment provider, A2Z Trip may submit the relevant booking confirmation, payment records, accepted terms and service records to the concerned institution. Any suspension or release of unpaid services will remain subject to the agreed booking terms, applicable notice requirements and law. A chargeback request does not automatically cancel the booking or establish refund eligibility.
- Cancellation Due to Personal Circumstances: Cancellation requests arising from personal reasons, including changes in travel plans, leave rejection, personal emergencies, illness or inability to travel, will be assessed under the accepted Cancellation & Refund Policy and applicable supplier conditions. Such circumstances do not automatically entitle the customer to a full refund. Any exception, waiver or special refund approved by A2Z Trip will be confirmed in writing. Statutory rights and remedies will remain unaffected.
